Healthpoint quotes can be converted into an invoice for final submission to the health fund. Future appointments and quotes can be converted, but cannot be submitted until after the service has been received by the client. Rebate information retrieved as part of the quote process is retained until the claim is resubmitted, but no copy of the quote is kept.
Converting a quote already linked to an Appointment
- From the Invoices screen select the client in the Bill to drop-down.
- Open the relevant quote and click Convert to Invoice.
- The Invoice Date will be today’s date.
- The Invoice Type will change from Q to I.
- The claim can now be submitted to HealthPoint.
Converting a quote not linked to an Appointment
- From the Invoices screen select the client in the Bill to drop-down.
- Open the relevant quote and click Convert to Invoice.
- Quotes not linked to appointments will be prompted to Select an appointment to link.
- Select the appointment to link from the Appointment(s) Details field.
- If there is an appointment with an Item Code that matches the quote, it will be automatically selected and highlighted in green.
- Confirm the details are correct and click Convert to Invoice.
- If there is no appointment highlighted in green, select the matching record from the Appointment(s) Details field. The line will be highlighted in red if the item codes do not match. If there is no appropriate appointment, one will need to be made in the appointment book.
- Click Convert to Invoice. The unmatched item will be added to the invoice.
- The new invoice will populate with today's date as the Invoice Date.
- The Appt Datewill populate from the appointment previously selected.
- The Invoice Type will change from Q to I.
- The Invoice Status will display as Booked.
The claim can now be submitted to HealthPoint.
