Converting a HealthPoint Quote into an Invoice
If a quote has been “accepted” by the client then it can be converted into an Invoice for final submission to the Health Fund. Future appointments and quote can be converted but they cannot be submitted until after the service has been received by the client. No copy of the quote is kept however any rebate information retrieved as part of the Quote process is retained until the claim is resubmitted.
Converting a quote already linked to an Appointment
In Invoices
Open the Quote
Click Convert to Invoice
Invoice Date = today’s date
Invoice Type changes from Q to I
The claim can now be submitted to HealthPoint or a payment can be taken.
Always submit a claim to HealthPoint before taking a GAP payment.
Converting a quote NOT linked to an Appointment
In Invoices
Open the Quote
Click Convert to Invoice
The appointment selection screen is displayed.
If there is an appointment with an Item Code that matches the quote, it will be selected and coloured GREEN
If this is correct, click Convert to Invoice
Invoice Date = today’s date
Appt Date in the Invoice = Appointment Date from appointment selected
Invoice Type changes from Q to I
Invoice Status = Booked
If not linked to an appointment and no appointment matches, then the list of available appointments are displayed.
If there is an appropriate appointment, select it. The line will display RED because the item codes do not match. If there is no appropriate appointment, then one will need to be made in the appointment book.
Click Convert to Invoice
o The unmatched item will be added to the invoice.
Invoice Date = today’s date
Appt Date in the Invoice = Appointment Date from appointment selected
Invoice Type changes from Q to I
Invoice Status = Booked
