Set up Printers and Print a Calendar

The Page Setup option from the Appointments menu changes the way your appointment book calendar will print. You can edit the calendar period, default fonts, paper size and tray, and the practitioners to include.

The quickest way to print a daily calendar is to use the Daily Appointment List.

NOTE  If your appointment book has both the menu options Work Week View and Tab View selected, ensure that only one practitioner is being shown per page.

  1. Select Appointments from the accordion on the right hand side to open the appointment book.
  2. Select the Page Setup option from the appointment book menu. The Page Setup screen will open with three tabs.
  3. Select one of the default Style Names to use as a calendar template:
    • Daily Style — Prints the calendar for the date you select
    • Weekly Style — Prints the calendar for the week you select
    • Monthly Style — Prints the calendar for the month you select
    • Tri-fold Style — Prints a Left Section, Middle Section and Right Section and allows you to change which type of calendar you wish to print in each section. Eg, Left - Daily, Middle - Weekly, Right - Monthly.
    • Calendar Details — Prints a summary of Appointment Times, Client Name, Consultation Type and any notes relating to the client appointment
    • Memo Style — Prints a more detailed summary of Appointment Start and End time, Client Name, Location, whether the appointment is a recurring one and any notes relating the appointment. NB.  You must first select the Appointment you wish to print before going into Print Options.
  4. The date range and other options shown in the Options panel will depend on the selected style template.
  5. Change the options for Date and AppointmentFonts on the right hand side adjust the text in the printed calendar.
  6. Select a Shading value to customise the shading applied to specified parts of the calendar.
  7. The Preview section will show an approximation of the calendar layout. Click Print Preview to preview the layout.
  8. Click OK to save the calendar print setup.

Create a custom calendar template

  1. Open the Page Setup screen.
  2. Click Define Styles in the top right to open a Define Print Style popup.
  3. Select a system template to copy and modify from the list. Provide a new style name and click Add.
  4. Adjust the options and click OK to save the new template.

Set printer paper options

This section is used to set the margins, the size of paper to use and whether the calendar is to print in landscape or portrait mode.

  1. Open the Page Setup screen. Select the Paper tab.
  2. Select the paper Type to use. The most common size paper is A4.
  3. Change the Top, Bottom, Left and Right Margins as required. Adjusting the margins enables more information to fit on one page. 
  4. In the Page Orientation section, select Portrait or Landscape.
  5. Check the tickbox next to Apply settings for all styles to apply the paper tab settings to all calendar styles.

Practitioners

The Practitioners tab is used to select which Practitioner Calendars you wish to print out.

  1. Open the Page Setup screen. Select the Practitioners tab.
  2. Tick Print all practitioners on one page to print all selected Practitioner Calendars on one page.
  3. OR

    In the Practitioners per Page drop down, select how many Practitioners to print per page.

  4. Tick Print using the custom collection. Leave Practitioners kind set to 'All resources'.
  5. In the Available Practitioners list, click on a Practitioner name. Click the arrow button > to select that Practitioner and move into the Practitioners to Print box, or click on the double arrow >> to select all Practitioners.
  6. Click OK to save your changes.
