Customisation of Invoice Templates


At this time Invoice templates can only be customised by Bp Allied staff. We can create Client, Third party or Medicare templates as well as other specific Invoice templates if required
 
Enabling Bp Allied customers to customise their own templates is in the planning phase for future development. No release date is available at this time.
 

What can we include in the Invoice template?

  • Your logo, ABN, address and contact details
  • The Client's address
  • The Third Party Billers address
  • The Referrers details including name, address, Provider Number and referral date
  • The Practitioners name and qualifications
  • The Practitioners provider number(s) - this is independent of the client's health fund
  • The Client's date of birth, Medicare number and expiry
  • Invoice Notes
  • Invoice Date - can be formatted as 16/01/2012 or 16th January 2012
  • Appointment date
  • Product / Service Item Code, Short or Long description, Quantity, Price, GST Amount, Discount amount, Total
  • Next Appointment date
  • Payment Due Date
  • Bank payment details - either the business or an individuals
  • Any text as required, e.g. payment terms,
  • Amount owning (after payment has been made)
 

What can't we include?

  • Client Consultation / History details
  • Client phone or email address
  • Ethnicity, Gender or martial Status (relevant if people are using this field for some other purpose)
  • Custom fields added into Client details
 

Customising the Payment (Receipt) Template

The Payment template is much more limited in it's flexibility and can only include the following:
  • Your Logo, ABN and address details
  • Payment No and Date
  • Invoice No
  • Payment Amount
  • Client name
  • User receiving payment
  • Referral Date and Referrer Provider Number and Name
 

What to send us to enable us to customise your Invoice templates

A picture says a thousand words! So, an MSWord document or a scanned image of your required invoice layout is incredibly helpful and usually allows us to complete the template with few adjustments. This image can be based on your current invoice or an invoice already in Bp Allied. In addition to this it is also helpful to include the following, if relevant:
  • Font names and font sizes
  • You logo as an image file - .PNG, .JPG or .GIF are preferred
  • The size of the logo on the Invoice
  • Details of the fields to include and where they are located
  • For example: if this needs to be in a specific location to fit into a window envelope then please let us know
  • Details of any text to include and it's location
  • Anything else that maybe relevant

How long does it take?

  • Our aim is to get your customised template(s) back to you within 3 to 5 working days. We will let you know if it is going to take longer than this.
 

Does it cost anything?

  • This is a free service for those with a current Software Assurance plan. For those customers without Software Assurance we will customise your templates for a fee.
