This article explains how to manage appointment reminder replies in the appointment book.
Before you begin
Before you can manage your appointment reminder replies, ensure that you have correctly set up appointment reminders. See Set Up Communications for more information.
View appointment reminder replies
- Select Appointments > Appointment book. The appointment book will open.
- Click Appt reminder in the top right corner of the screen next to Actions. This option may be hidden behind an ellipsis (three dots) icon.
- The appointment reminders screen will appear.
Filter appointment reminders
Click Appt | Today to filter the appointment reminders by date.
All reminders sent, Confirmed, Declined, Requires review and No reply show how many appointment reminders within the selected date range fit into each category. Click each of the buttons to only view appointment reminders of that category.
Total apart shows all appointments for the selected date range regardless of whether a reminder has been sent.
Reminders not sent shows the reminders that were meant to be sent but were not.
Appointment reminder responses containing 'Yes' or 'Y' are categorised as Confirmed. Responses containing 'No' or 'N' are categorised as Declined. Responses containing any text other than this are categorised as Requires review.
Use the search fields to search for appointment reminders by patient name, or by the phone number the reminder was sent to.
You can also choose to filter by:
- Appointment type
- Providers
- Location
- Appointment status
- Time
- Delivery status.
Click on an appointment reminder in the list to view the message that was sent and the Patient or Client's reply on the right-hand side of the screen.
From the right hand side of the screen, you can also change the status of the selected appointment reminder, send a new message, and edit or cancel the associated appointment.
Action the appointment reminder response
In the Actions column, select the ellipsis next to the appointment reminder response you wish to action.
Based on the appointment reminder response, you can change the status of the selected appointment reminder, send a new message, and edit or cancel the associated appointment.
