This article explains the process of linking unmatched patients that book online through Best Health Booking in Bp Omni.

How to link an unmatched patient

TIP Exact matches where all criteria are identical between an online booking and a patient record in Bp Omni is matched automatically.

  1. Left-click the appointment in the appointment book and select 'Review unmatched patient'.
  2. Unmatched patient bookings will be marked with the red patient icon in the appointment book.

  3. Depending on which criteria the patient matches, you will either be creating a pre-filled new patient record or matching with an existing record.
  4. In the example shown below, the online booking has either a matching last name, date of birth or mobile phone number to an existing record(s) and therefore is showing suggested matches.

  5. If there are no suggestions for the patient that you believe this booking matches, use the search function to find and select the patient record you are looking for.
  6. Once you have selected an existing patient record, confirm the patient match. When this patient next books online, the matched patient record will be used.
  7. NOTE If the patient is deleted from the person's Best Health Booking profile they will need to be matched again.

How do I create a new record for an unmatched patient?

  1. Left-click the appointment in the appointment book and select 'Review unmatched patient'.
  2. For online bookings for patients without any matching records, select 'create a new patient' from the patient matching modal.
  3. The new patient record will open, pre populated with the first name, last name, date of birth, mobile phone number and complete address from the Online booking information.
  4. Select Save. The patient now has a record in Bp Omni.

How does patient matching work?

For new patients:

Bp Omni will create a new pre-filled patient record based on the demographic information from the patient's online booking profile. Once the new patient is setup, this will link the patient record with the current appointment and all future online bookings made by the patient or dependant via Best Health Booking.

For patients with matching criteria:

The patient matching provides a list of possible or suggested patient matches in the case that a patient may already exist in the database but was not an exact match.

The suggested list of matches will display any patients with one or more of the following criteria:

  • Matching last name

  • Matching DOB

  • Matching mobile number

The clinic can search the entire patient list to find and existing match.

Patient matching criteria

Whether a patient is an exact match, a suggested match or requires a new patient record to be completed upon booking will be determined by the criteria that the online booking information matches.

An exact match must have the following information identical in both BHB and Bp Omni:

  • First name

  • Last name

  • Date of birth

Suggested matches are based on patients with matches in any of the following:

  • Last name

  • Date of birth

  • Mobile phone number

New patient records are populated with the following information, pulled from the online booking:

  • First name

  • Last name

  • Date of birth

  • Mobile phone number

  • Address
