Create, use, and cancel credits

This article describes how to create, use or cancel Credits in Bp Omni.

Create account credit

There are three ways to create account credit in Bp Omni.

  • Creating a credit for a paid invoice will allocate the credit back to the patient's account.
  • Creating a payment for more than the owing amount on an invoice will create account credit for the patient.
  • Creating a payment not linked to an invoice will create credit.

Create credit for a paid invoice

  1. Go to FinanceGeneral accounts and click the Invoice link.
  2. Click the down arrow next to Paid and select Credit/Refund.
  3. Credit or refund a paid invoice

    The Credit screen will open.

  4. Select the credit Type: Full invoice or Selected items.
  5. Click Credit.
  6. Refund or credit a paid invoice

The invoice will return to an outstanding status, and the credit will be applied to the patient's account.

Create a credit for an owing invoice

  1. Go to FinanceGeneral accounts and click the Invoice link. The Invoice Details screen will appear.
  2. Click Pay. The Invoice New Allocation screen will appear.
  3. In Transaction Type, select Pay amount.
  4. Select the Payment method and enter the amount received from the patient. Any overpayment will be applied as a credit to the patient’s account.
  5. Click Save.
  6. Bp Omni will warn the user that the allocation and payment do not match. Toggle the switch to Yes and click Add account credit.

The credit will be recorded on the patient’s account.

Create a credit without a linked invoice

  1. In the top menu bar in Bp Omni, click the plus icon, then select New payment.
  2. The New Allocation screen will appear. In Bill To, search for a contact.
  3. The Bill to will populate the Patient or Account Holder's name. The Transaction Type will default to Add Account Credit.

  4. Select the Payment method and enter the amount received from the patient.
  5. Click Save.

The credit will be recorded on the patient's or account holder's account.

Credit an owing invoice

Crediting an invoice will update the status from Owing to Credited, Paid.

This workflow is used when the clinic does not intend to charge the patient for the invoiced items, no payment will be taken, and the invoice does not need to be written off as a bad debt.

  1. Go to FinanceGeneral accounts and click the Invoice link.
  2. Click the down arrow next to Paid and select Credit/Refund.
  3. Credit an owing invoice

    The Credit screen will open.

  4. Select the Type: Full invoice or Selected items.
  5. Click Credit.
  6. The invoice status will be updated to Credited.

NOTE   No account credit is added to the patients account.

Use account credit to pay an owing invoice

  1. Go to FinanceGeneral accounts.
  2. Find the invoice you want to pay, then click the Pay link in the Action column.
  3. The New Allocation screen will open.

  4. In Transaction type, select Pay invoice or Pay amount.
  5. In Payment Method, select Account Credit.
  6. Click Save to apply account credit to the owing invoice.

Cancelling a Credit

To cancel a credit made in error:

  1. Select Finance > General accounts. The General Accounts screen will appear.
  2. Locate the credited invoice and click the Invoice link to open the invoice details screen.
  3. Click the Credit transaction link associated with the invoice.
  4. The Credit transaction screen will be displayed.

  5. To cancel the credit, click the down-arrow next to Refund and then click Cancel credit.
  6. The Cancelling transaction modal will appear. Select a Reason for cancelling the credit, then click Cancel credit.
  7. After the credit is cancelled, you will be returned to the General Accounts screen.

View a patient's account credit

Go to Finance > General Accounts, and click on the patient's name. The Accounts screen will open.

  • Available credit can be seen in Unallocated credit section.
  • Click View credits to filter account transactions for credits only.
  • Credit values are displayed in the Owing ($) column with CR.
  • If no invoices with an owing status are linked to the patient, the Account in credit badge will display in the top-right of the screen.
