This article steps through how to create a new user with no clinical or prescribing functions. See Set up a New Provider to step through all the additional components of setting up a new provider.

NOTE  When setting up doctors and users for the first time after a new installation, the first user added will, by default, have top level access. Only that login will have permissions to assign high level access to another user.

Add a new user

  1. From the main screen of Bp Premier, select SetupUsers from the menu or press Shift+F4. The Users screen will appear.
  2. Click Add. The New user screen will appear.
  3. The fields on the left hand side capture contact and personal information. If you are adding a user who is not a provider, complete the left side of the screen only.

User categories

The type of user is determined by the selected Category in the New user screen, for example, doctor, receptionist, practice manager, or an allied health role like a physiotherapist or occupational therapist.

The category a user is assigned to will affect the user's default permissions.

New user categories cannot be added manually.

NOTE  As of Saffron SP3, the user categories Contract Doctor and Registrar an be selected from the Category: drop-down menu.

Passwords

As of Saffron SP2, the Force password change on next login checkbox has been added to the New user and User details screens, and is ticked by default in the New user screen. When Force password change on next login is ticked, the user will be required to change their password when they next log into Bp Premier.

Once all required details have been added to the New user screen:

  1. Ensure Force password change on next login is ticked and click Save. The password screen will appear.
  2. Enter a dummy password and click Save.
  3. Provide the new user with the dummy password.

When the new user logs into Bp Premier for the first time they will be required to enter the dummy password, then set a new password.

NOTE  Depending your practice's password security settings, the password may need to meet certain criteria. See Manage password and access security for more information.

If you have not yet upgraded to Saffron SP2, the new staff member will need to be present when you add them to the system in order to enter their password.

Set user permissions

The functionality that a user can access in Bp Premier is determined by the user's permissions. When you create a new user, the default permissions assigned depend on the user Category. You can override the default permissions depending on how your practice operates. For example, in a small practice, staff may perform the duties of multiple roles.

  1. From the main screen, select SetupUsers. The Users screen will appear.
  2. Select the new user from the list and click Edit. The Edit user details screen will appear.
  3. Click Set permissions. The Permissions screen will appear.

    Appointments and Waiting room screens will not be available.

    Allows appointments to be viewed in both the Appointments and Waiting room screens, but not added or changed.

    Allows full use of the Appointments and Waiting room screens.

    Double Book appointments

    Not allowed

    User will not be able to book two appointments for the same time for the one doctor.

     

    Allowed

    User can book two appointments for the same time for the one doctor.

    Override ‘On the day' appointments

    Not allowed

    User cannot enter an appointment into an ‘on the day' time slot.

    Waiting room

    User can create new accounts but is unable to view account histories or change or cancel any accounts.

    User can create new accounts and view account histories but they are not able to change or cancel any accounts.

     

    Add / Edit

    User can create new accounts, view account history and change existing accounts but are not able to delete, cancel or write off accounts.

     

    Add / Edit / Delete

    Allows full use of the accounts functionality in the system.

    Payments

    No access

    Payment will not be able to be entered.

     

    Add only

    User can enter new payments for accounts but is unable to view account histories or reverse or adjust any payments.

     

    Add / View

    User can create new accounts and view account histories but they are not able to change or cancel any accounts.

     

    Add / Edit

    User can create new accounts, view account history and change existing accounts but are not able to delete, cancel or write off accounts.

     

    Add / Edit / Delete

    Allows full use of the accounts functionality in the system.

    Direct Billing

    No access

    User will not have access to the direct billing function

     

    Add only

    User can create new direct billing batches but cant modify existing batches or reconcile a batch.

     

    Add / View

    User can create new direct billing batches but is unable to modify existing batches or reconcile a batch.

  7. Click Save to save permissions and return to the Edit user details screen.

Set user preferences

If a user has the permission Own preferences set to 'Add/Edit/Delete', the user can edit their own user preferences. Otherwise an administrator will have to set the user's preferences. You can also clone an existing user's preferences.

  1. Log in to Bp Premier.
  2. Select SetupPreferences from the main screen, or press Shift+F5. The User preferences screen will open.
  3. Select the User name you want to modify preferences for.
  4. Change the default values for fields in the General tab. The fields in this tab can apply to all categories of Bp Premier user.
  5. Select the Letters tab. The fields in this tab provide defaults for printing documents from the word processor.
  6. If the user is a provider, work through the Prescribing, Clinical, Pathology, and Imaging tabs to set defaults for working in the patient record and custom settings for investigation requests.
  7. Click Save & Close to save preferences and exit.

Clone a user's preferences

  1. From the User preferences screen, select the User name you want to clone preferences to. This user will have their preferences updated.
  2. Click Clone. Select the user you want to clone preferences from and click Select. The user selected here will be unaffected, but their preferences will be copied.
  3. Bp Premier will prompt if you also want to clone Pathology and Imaging Favourites. Click Yes or No.
  4. The user's preferences will be updated to the user selected in step 2.

Change a user's password

If a user has the permission User Details set to 'Allow/Edit/Delete', the user can change their own password.

  1. From the main screen, select SetupUsers. The Users screen will appear.
  2. Select the user from the list and click Edit. The Edit user details screen will appear.
  3. Click Set Password. The Password screen will appear.
  4. Enter the current password, new password, and the new password again.
  5. Click Save to save the new password. The next time the user logs in, the new password will be required.

Windows profile and system requirements

Your IT provider can assist you with ensuring your system requirements and profile and group policy settings are correct.

Check system requirements

The amount of resources required to run Bp Premier depends on the number of concurrent users at your practice. When adding new users, check that your computer specifications meet the system requirements for Bp Premier. See System Requirements for more information.

Profile and group policy settings

All users who will be running Bp Premier must have Read and Write access to the following registry directory and all sub-directories

  • Computer\HKEY_LOCAL_MACHINE\SOFTWARE\WOW6432Node\Best Practice Software

All users who will be running Bp Premier must have Read and Write access to the following directories and all sub-directories

  • C:\Program Files\Best Practice Software
  • C:\ProgramData\Best Practice

Use of profile and temp directory redirection (for example, through FSLogix) on the Windows profiles of users who will be running Bp Premier is not recommended. Such software can cause Windows system calls for renaming files to intermittently fail and cause issues with software running on the machine.

Additionally, redirection of profiles or temp directories for shared user accounts (e.g. if a single reception account is signed on to multiple PCs at the same time) will cause issues for Bp Premier when loading documents. Your Windows environment for Bp Premier users must not be configured this way.

Set reporting permissions

If the new user needs to generate reports, they must have reporting permissions enabled.

Before a user can run a report, you need to:

  • set the user's Reports permission in Setup > Users > Edit > Set Permissions to 'Allow access'
  • tick the reports that a user can access in Setup > Users > Edit > Set Reports.
